Refund & Cancellation Policy

Because MatnWave operates high-standard, small-group cohorts capped strictly at 12 practitioners maximum, booking cancellations directly impact our scheduling, logistics, and resource allocation. Below we outline our transparent policies regarding booking deposits, balance payments, and cancellations.

1. Booking Deposits

To secure a spot in a MatnWave cohort, a 20% booking deposit is required upon acceptance of your application.

  • Non-Refundable Status: All booking deposits are strictly non-refundable.
  • Purpose: The deposit holds your seat in the cohort and covers early administrative, coach scheduling, and accommodation reservation overheads.

2. Balance Payments & Cancellation Windows

The remaining balance of your cohort package is due as specified in your booking confirmation. If you must cancel your booking, the following refund schedule applies to your balance payment:

  • 30+ Days Before Arrival: Full refund of your balance payment (excluding the non-refundable booking deposit).
  • 15–29 Days Before Arrival: Fifty percent (50%) refund of your balance payment (excluding the non-refundable booking deposit).
  • Fewer than 15 Days Before Arrival: We are unable to offer refunds or balance returns of any kind.

3. Camp Cancellation by MatnWave

In the rare event that MatnWave must cancel a scheduled cohort week due to internal operations or safety conditions:

  • Participants will be offered the choice of a full refund of all payments received (including the deposit) or a free transfer to a future scheduled week of equal value.
  • MatnWave is not responsible for any external travel expenses, such as airline tickets, visa fees, or other personal travel logistics. We highly recommend purchasing comprehensive travel insurance.
